Trust & Privacy
How ELARA looks after your data.
Clear answers for universities and services, and for the learners who use ELARA.
Where data is kept
ELARA's records are stored on secure servers managed by the ELARA team. Sessions, reflections and supervision feedback are stored so learners and supervisors can follow progress over time.
Data is encrypted in transit.
AI services, and what each one receives
ELARA uses specialist AI services, chosen and reviewed by ELARA. Each receives only what it needs for its job:
- The client's replies and supervision feedback use the client's instructions and the conversation, and for feedback, the session transcript and the learner's reflection.
- The client's voice uses the text of the client's replies only, never the learner's words.
- The client's animated face uses the client's voice only. It receives no audio or video of the learner.
- Speech-to-text uses the learner's microphone audio in voice sessions, while they're speaking to the client.
- The learner's camera is never used. ELARA asks only for the microphone, and only in voice sessions.
- AI services receive no learner names or account details.
- Whether each service keeps any data, and for how long, is set in ELARA's agreements with them.
Who can see transcripts
Everyone signs in with an account and a role: learner, supervisor, academic staff or institution administrator. Each institution's data is kept separate from every other's.
- Learners see their own sessions and feedback.
- Supervisors and academic staff see the sessions and feedback of the learners they're responsible for.
- ELARA's own staff access data only to support and maintain the platform.
Retention and deletion
How long session data is kept, and when it's deleted, is agreed with each institution.
Research use
Session data is used for research only with the learner's consent, under the research's ethics approval. Research exports are de-identified and limited to approved roles.
Clinical safety in sessions
- Simulated clients are instructed to stay in character, and never to give therapeutic advice or step into the therapist's role.
- Clear labels on every session, saying it's with a simulated client and that learners can pause or stop at any time, are being added.
- A "Need support?" button is being added to every learner page. It lists Australian crisis lines, including 000, Lifeline and 13YARN, alongside the learner's supervisor and university counselling service.
